Human Resource Business Associate

Opportunity Information

We are seeking a detail-oriented and proactive HR business associate to support our HR Director, leadership team, and employees by managing personnel files, onboarding processes, and HR data accuracy across multiple systems. This role will ensure smooth HR operations, compliance with internal policies, and a positive experience for all new hires and internal stakeholders.

Key Responsibilities

• Serve as the primary point of contact for the HR team regarding new hires, onboarding, and personnel records.

• Manage and maintain all personnel files with accuracy, confidentiality, and compliance requirements.

• Oversee internal onboarding processes, ensuring all new hire forms, checklists, and system entries are completed accurately and timely.

• Initiate and coordinate background checks for all new hires, ensuring timely completion and compliance with regulations.

• Perform data cleanup and accuracy checks within HR systems such as ADP and other HR databases.

• Create and maintain onboarding materials, process documents, and HR checklists to ensure consistency across the organization.

• Respond to HR-related inquiries from employees and leaders regarding onboarding and personnel documentation.

• Collaborate with cross-functional teams to ensure smooth handoffs between HR, payroll, and department managers.

• Generate and analyze HR reports related to onboarding, headcount, and personnel data as needed.

• Support HR projects, process improvements, and compliance audits as required.

Project and Reporting Support

• Assist in cyclical HR projects such as open enrollment, audits, and process rollouts.

• Prepare reports and dashboards using HR systems and Microsoft Office tools for leadership review.

• Analyze trends and identify opportunities for improving HR processes and data accuracy.

• Help develop and maintain process documentation and project plans for HR initiatives.

Qualifications

• Minimum 2 years of experience in HR operations, HR coordination, or a similar role.

• Strong organizational skills with attention to detail and accuracy.

• Proficiency in HRIS systems (e.g., ADP) and Microsoft Office Suite (Word, Excel, PowerPoint).

• Ability to handle confidential information with discretion.

• Strong communication and collaboration skills to work effectively across departments.

• Proactive mindset with the ability to manage multiple priorities in a fast-paced environment.
