Job Profile Summary

Provides coordination and administrative support for physician services within SWBMG. Serves as a liaison between providers, administrative teams, and the broader Sutter Health network, ensuring timely communication, completion of administrative requirements, and smooth execution of physician-related projects. Coordinates provider-facing tasks such as surveys, trainings, and system requirements, while supporting database management and information tracking. Collaborates closely with leadership, physicians, and external entities to maintain organized processes and support affiliate goals.

JOB ACCOUNTABILITIES

Documentation & Database Support

• Maintain and update physician/provider information databases; ensure accuracy, organization, and accessibility.
• Track and document provider compliance with administrative tasks such as surveys, Workday Learnings, CME submissions, and credentialing requirements.
• Assist in preparing reports, summaries, and tracking metrics related to physician services.
• Maintain project and administrative documentation, status logs, and updates.

Liaison & Communication

• Serve as a central point of contact and communicator between SWBMG providers, administrative departments, and Sutter Health network entities.
• Triages and directs physician/provider inquiries, ensuring timely resolution or referral to the appropriate resource.
• Facilitate clear dissemination of policies, updates, and requirements to providers.
• Represent physician services in cross-entity projects and meetings, ensuring provider needs are captured and communicated.

Project Coordination

• Support physician-related projects, including database and information management initiatives.
• Assist with planning, timelines, and deliverables for projects that impact multiple specialties, clinics, and providers.
• Provide organizational support to physician leaders and leadership teams during project execution.
• Develop and maintain project infrastructure including tools, resources, and processes.

Administrative Support

• Schedule and coordinate meetings with providers and leadership; prepare agendas and track follow-up actions.
• Ensure appropriate resources, documents, and materials are available for meetings and trainings.
• Monitor and report progress on tasks and deliverables related to physician services and projects.

Qualifications

EDUCATION

Equivalent experience will be accepted in lieu of the required degree or diploma.
- HS Diploma: High School or General Education Diploma (GED) required.
- Preferred: College coursework in business, healthcare administration, project management, or related field.

TYPICAL EXPERIENCE

2–3 years recent relevant experience in healthcare administration, physician services, project coordination, or related field.

SKILLS AND KNOWLEDGE

• Strong organizational and time management skills with the ability to prioritize multiple tasks.
• Working knowledge of healthcare operations and physician/provider administrative requirements preferred.
• Effective communicator with ability to work across multiple entities and represent SWBMG in cross-network settings.
• Proficiency with Microsoft Office (Word, Excel, Outlook, SharePoint) and ability to learn new systems quickly.
• Demonstrated ability to build collaborative relationships and work effectively with physicians, staff, and leadership.
• Detail-oriented with ability to manage data, track compliance, and maintain accurate records.
• Ability to work independently, adapt to changing demands, and perform effectively in fast-paced environments.

Sutter West Bay Medical Group (SWBMG) is a premier multi-specialty medical group made up of over 200 physicians practicing in the greater San Francisco service area. SWBMG works in partnership with Sutter Pacific Medical Foundation (SPMF), a non-profit organization providing care through its affiliation with SWBMG. Physicians work as a team to provide patient-focused care that encourages a sense of teamwork. SPMF provides physicians with an administrative infrastructure, allowing physicians to focus on patient care.
